ABOUT THIS NOTICE

This notice explains what personal information ikies may receive through this website, why it is used, how long it may be kept, and the rights available to you.

WHO WE ARE

This website is operated by ikies architecture studio in Greece. For the purposes of this notice, ikies is the controller of personal data processed through www.ikies.co and through direct enquiries connected with the website.

You can contact us about privacy or personal data at info@ikies.co.

This policy applies to the website and forms controlled by ikies. It does not govern the independent practices of external websites or services linked from this site.

INFORMATION WE COLLECT

We collect only the information reasonably needed to respond to enquiries, provide architectural services, operate the website, and meet professional or legal obligations.

Information you provide directly may include your name, email address, telephone number, country of residence, property or project location, intended use, approximate budget, preferred timeframe, messages, consultation details, and any plans, surveys, photographs or other files you choose to send.

Technical information may include your IP address, browser and device type, operating system, referring page, pages viewed, date and time of access, cookie choices, and information recorded in hosting, security or server logs.

Business and client records may include correspondence, proposals, contracts, invoices, payment records, project documents and professional communications where an enquiry develops into a consultation or client relationship.

Please do not send sensitive personal information unless it is genuinely necessary for the service and we have agreed an appropriate way to receive it.

HOW WE USE INFORMATION

We may use personal information to:

  • respond to enquiries and review the information you send;
  • assess whether a property, design, permit or construction-stage service is appropriate;
  • prepare proposals, arrange consultations and provide agreed services;
  • manage client communication, project records and professional responsibilities;
  • send a guide, brochure, future residence release or other information you have requested;
  • maintain, secure, troubleshoot and improve the website;
  • prevent misuse, fraud or security incidents;
  • keep accounting, contractual and professional records;
  • establish, exercise or defend legal claims; and
  • comply with applicable legal or regulatory obligations.

We do not sell personal information.

LEGAL BASES

Depending on the situation, we process personal information on one or more of the following legal bases:

  • Steps before a contract or performance of a contract — for example, reviewing your enquiry, arranging a consultation, issuing a proposal or providing architectural services.
  • Legitimate interests — for example, operating and securing the website, maintaining business records, responding to professional enquiries and protecting legal rights, where those interests are not overridden by your rights.
  • Consent — for optional communications, non-essential cookies or other processing where consent is the appropriate basis. Consent can be withdrawn at any time.
  • Legal obligation — where records or information must be retained or disclosed under applicable law.

COOKIES AND ANALYTICS

The website may use essential cookies or similar technologies needed for basic operation, security, form functionality and user preferences.

Optional analytics, embedded-media, advertising or preference technologies may also be used where they are enabled. Where consent is required by law, we do not intend to use non-essential cookies before the required choice has been made.

You can manage cookies through any consent controls presented on the website and through your browser settings. Blocking some cookies may affect how parts of the site function.

Third-party content, such as maps, videos, social-media embeds or booking tools, may allow the provider to receive technical information when that content is loaded or used.

SERVICE PROVIDERS AND RECIPIENTS

We may use carefully selected service providers to support website hosting, email, online forms, security, website maintenance, cloud storage, document exchange, appointment scheduling, payment processing, analytics or communications.

These providers may process personal information only as needed to provide their service, under our instructions where they act as processors, or under their own privacy terms where they act as independent controllers.

Information may also be shared with professional advisers, consultants, engineers or public authorities where this is necessary for an agreed service, required by law, or authorised by you.

We do not disclose your project documents or enquiry details to unrelated third parties for their own marketing.

INTERNATIONAL TRANSFERS

Some website, email, cloud, analytics, booking or payment providers may process information outside Greece or outside the European Economic Area.

Where an international transfer requires safeguards, we seek to rely on a recognised legal mechanism such as an adequacy decision, approved contractual protections or another safeguard permitted by applicable data-protection law.

DATA RETENTION

We keep personal information only for as long as reasonably necessary for the purpose for which it was collected.

Enquiry records are reviewed periodically and may be deleted when they are no longer needed. Client, project, contractual, accounting and professional records may be retained for longer where this is necessary to provide services, maintain an appropriate project record, meet tax or professional obligations, or protect legal rights.

Information used for optional updates is kept until you unsubscribe, withdraw consent, or the list is discontinued. Technical and security logs are normally kept for limited operational periods unless a longer period is needed to investigate an incident.

When information is no longer required, it is deleted, anonymised or securely archived as appropriate.

YOUR RIGHTS

Subject to the conditions and exceptions in applicable law, you may have the right to:

  • request access to your personal information;
  • ask for inaccurate or incomplete information to be corrected;
  • request deletion of information;
  • request restriction of processing;
  • object to processing based on legitimate interests or direct marketing;
  • receive certain information in a portable format;
  • withdraw consent at any time where processing is based on consent; and
  • lodge a complaint with a supervisory authority.

To exercise a right, email info@ikies.co. We may need to verify your identity before acting on a request.

You may also complain to the Hellenic Data Protection Authority.

SECURITY

We use reasonable technical and organisational measures intended to protect personal information against unauthorised access, loss, misuse or alteration.

No website, email service or method of online transmission can be guaranteed to be completely secure. Please avoid sending highly sensitive documents by ordinary email unless we have agreed an appropriate method of transfer.

THIRD-PARTY LINKS AND EMBEDDED CONTENT

The website may link to or display content from third-party websites and platforms. Those services operate under their own privacy policies and may collect information when you visit them, load embedded content or use their tools.

ikies is not responsible for the content, security or privacy practices of independent third parties. Review the relevant privacy information before providing personal information to an external service.

CHILDREN

The website and our architectural services are not directed to children. We do not knowingly collect personal information directly from children through this website.

If you believe that a child has provided personal information to us, contact us so that we can review and, where appropriate, delete it.

CHANGES TO THIS POLICY

We may update this Privacy Policy when the website, our services, the tools we use or applicable requirements change.

The date at the top of the page shows when the policy was last updated. Material changes will be reflected in the revised notice.
